The roles in Sahora and what each one can see and change.

For:Owner / ManagementPayroll officerHR adminPayroll approverFinanceSupervisorEmployee

Sahora computes your payroll, makes the payslips and prepares the SSS, PhilHealth, Pag-IBIG and BIR forms. Each person signs in with a role that decides what they can see and change. This guide explains the roles so you can give each person the right one.

What Sahora does

  • Time and attendance: clock-ins from the phone, biometric files, leave, overtime, official business and time corrections.
  • Payroll: pay periods, computing the payroll, approval by a second person, payslips, payout lists and the payroll journal.
  • Government and BIR: contribution reports, BIR Form 1601-C, BIR Form 2316, BIR Form 1604-C and the alphalist. Sahora prepares these forms; you or your accountant file them with the agencies.
  • Employee portal: employees see their payslips, 2316 and loans, and file their own requests.

The four main roles

RoleWho it is forWhat they do
Owner / ManagementThe owner or general managerEverything for the company: settings, users, salaries, approving and releasing payroll, reports, billing and privacy
Payroll officerWhoever prepares the payrollEmployees and 201 files, timesheets, computing and submitting payroll, adjustments, reports, government forms, loans and requests
SupervisorDepartment headsApprove their departments' leave, overtime, official business, time corrections and claims on the phone, under My team
EmployeeEveryone on the payroll who should sign inClock in and out, file requests and claims, see payslips, BIR Form 2316 and loans

More roles for bigger companies

  • HR admin: 201 files, leave, official business, loans, schedules and inviting employees. Salary changes go to the owner for approval. An HR admin doesn't compute or approve payroll.
  • Payroll approver: approves payroll and decides requests. Sees salaries and totals, but government and bank numbers only as the last four digits. Can't edit employees or pay.
  • Finance: releases approved payrolls, makes bank files and sees the government reports and remittances. Can't edit employees or pay.

Rules that apply to everyone

  • A payroll is approved by someone other than the person who prepared it. The only exception is a company with a single user who can prepare and approve. See Submitting and approving a payroll.
  • Supervisors and employees don't open the company workspace. They use the employee portal on their phones. A supervisor never sees anyone's pay, government numbers or bank details.
  • An employee sees only their own records.
  • Everyone except employees signs in with two-step verification, and keeps two authenticators. See Signing in for the first time.
  • An owner can mark an employee's pay Confidential salary. Then only owners and payroll officers see that employee's pay.
  • A payroll approver or HR admin can be limited to some branches or departments. They then see and act only on employees in those units.

Who can give which role

  • Owners give any role.
  • Payroll officers give Employee and Supervisor.
  • HR admins give Employee.

You give roles on the Users page. The Who can do what table there lists the same roles. See Users and roles.

Good to know

  • One person can hold more than one role, for example Owner / Management and Employee if the owner is also on the payroll.
  • The badges at the top of your Dashboard show your role in that company.
