Filing leave, overtime and official business

File a request and follow it until it is decided.

For:Employee

Basahin sa Filipino

You file leave, overtime and official business in the employee portal. Your supervisor (or your employer's approver) decides, and you follow each request until it is decided.

File a leave

  1. Open Leave. The table shows each leave type with Earned, Used, Waiting (filed but not yet decided) and Available. Types marked (unpaid) are leave without pay.
  2. Under File a leave, choose the type in Leave.
  3. Choose the first day in From. For more than one day, choose the last day in To (blank = one day).
  4. For half a day, choose Morning only or Afternoon only in Half day. This works only for one date and only for leave types that allow half days.
  5. Type the Reason and tap File leave. Sahora tells you how many days it counted.

Days are counted on your scheduled workdays: rest days and holidays aren't charged. Maternity leave and special leave for women count every day.

File overtime

  1. Open Overtime. The card says how many days after the day worked you may still file, and your company's weekly limit if it has one.
  2. Choose the Date, type the Hours and the Reason.
  3. Tap File overtime.

Overtime is paid only when approved, and only for time you actually worked after your regular day. For today or an earlier day, Sahora checks your time log first: you can't file more hours than your clock-in and clock-out show beyond your regular hours.

File official business

Official business is work away from the office, such as a client visit or an errand at a government office. Once approved, it is paid as time worked.

  1. Open Official business.
  2. Choose the Date, the times in From and To, and type the Destination and Purpose.
  3. Tap File official business.

On the day, clock in and out on Clock in / out. Each punch needs a photo and your location; your branch's area isn't checked. Without a clock-in, the day counts as your scheduled hours and HR checks it. Overtime on that day needs its own overtime request.

Follow your requests

Each page lists your requests with a status: Waiting for approval, Endorsed, waiting for final approval, Approved, Rejected or Cancelled. The approver's note appears beside it.

  • While a request is waiting, tap Cancel beside it to take it back.
  • My requests shows everything you have filed in one list: leave, overtime, official business, claims, time corrections, profile changes and certificates of employment. Tap a request's type to open its page.

You get a notification when a request is decided. Some companies ask for a second approval for leave: your supervisor's approval then shows as Endorsed, waiting for final approval until the payroll officer or owner approves it.

What can go wrong

  • "These dates are rest days or holidays; nothing to file.": choose workdays.
  • "Only ... day(s) left (after requests waiting for approval).": you don't have enough balance once waiting requests are counted.
  • "Not yet available: earned from ...": this leave starts on that date.
  • "There is already a leave request for some of these days." or "There is already an overtime request for this day.": cancel the old one first if it is wrong.
  • "Overtime must be filed within ... day(s) after the day worked.": the filing window has passed. Talk to your supervisor.
  • "Your time log for ... is missing a clock-in or clock-out.": fix the punch first (see Fixing a missed or wrong punch), then file the overtime.

Good to know

  • Service incentive leave is 5 days a year once you have worked for a year, unless your company is exempt by law. Until then its row shows Available from and the date.
  • Leave balances are for the current year. Ask HR if a balance doesn't match your records.

Where this guide gives a rate, limit or number of days set by law, it is the one in force today, 24 October 2026, from the official tables Sahora uses for payroll.
