Clock-in controls

Selfies, location, approved phones and clock-ins without signal.

For:Owner / ManagementPayroll officerHR admin

Clock-in controls are the checks Sahora runs on clock-ins from the employee portal: the selfie, the location, the phone used, and clock-ins made without signal. This guide shows how to choose them for the company and for each branch.

Before you start

  • Owner / Management users, payroll officers and HR admins can change clock-in controls.
  • Phone clock-in must be on. An Owner / Management user turns on Clock in and out on the phone and, if you want photos, Selfie with each clock-in on the Timekeeping card (see Shifts, breaks and timekeeping).
  • To check locations, give each branch its map pin and radius under Branches (see Branches, departments and cost centers).

Start from a preset

  1. Open Company setup and choose Clock-in controls.
  2. Click a preset. The line under the buttons says what it does.
    • Office: employees work at the branch. A punch outside its area is refused, the location must be precise, phones only.
    • Field / Roving: the location is recorded but not checked against the branch, and clock-ins without signal are accepted (flagged).
    • Work from home: the location is recorded only, and a computer may be used.
  3. Adjust anything below. Once you change a value, the preset shows as Custom.
  4. Click Save.

The main choices

  • Outside the site's area: Refuse the punch, Accept and flag it, or Record the place only (roving, field, home).
  • High-risk punches: Hold for a reviewer or Record as not accepted.
  • Least precise location accepted (m): a less precise reading is refused, and the employee is asked to retry near a window or outdoors.
  • Seconds to take the photo: after tapping Clock in, the photo must be taken within this time.
  • Flag from risk score and Hold from risk score: each punch gets a risk score. From the first, it is flagged for a look; from the second, it doesn't count until a reviewer approves it.

The card has more numbers, each with a hint under it: the phone clock difference, the fastest believable travel between two punches, and the window for two employees punching from one phone or address.

Switches

  • Allow clock-ins from a computer: off means phones and tablets only.
  • Accept clock-ins without signal: on, a clock-in made without signal is kept on the phone and sent later, always flagged for review. Off, a clock-in needs a connection.
  • Flagged punches count until rejected: on, flagged punches count in attendance until a reviewer rejects them. Off, they don't count until a reviewer accepts them.
  • Movement check before the selfie: the employee turns their head or smiles before the selfie, to show it's a live person. Set the Tries at the movement check too.

A switch that depends on a Timekeeping setting is locked with a note, for example "Turn on Clock in and out on the phone first (Timekeeping)."

Give a branch its own settings

  1. Under the company's controls, open the branch's line. It says "(company settings)" while it follows the company.
  2. Change the controls and click Save. The branch now shows "(own settings)".
  3. To go back, click Use the company's settings.

One phone per employee

Sahora accepts clock-ins from one registered phone per employee. A clock-in from a new phone is recorded but waits until someone approves the phone on Clock-in review. See Reviewing clock-ins.

Good to know

  • The time recorded is always Sahora's, not the phone's.
  • Held and flagged punches wait on Clock-in review, which you can open from the link on the card.
  • Employees see what to do on their phone in Clocking in and out.

Where this guide gives a rate, limit or number of days set by law, it is the one in force today, 24 October 2026, from the official tables Sahora uses for payroll.
