When employees clock in on their phones, Sahora checks each punch: the place, the phone, the selfie and the time. Punches that look unusual are marked for a person to look at. This guide shows how to decide on them, approve a new phone, and ask an employee to explain.
Paid plansClocking in on the phone comes with the paid plans.Where the punches to review are
- Owner / Management, payroll officers and HR admins: open Time log, then click Clock-in review at the top. The card Waiting for review lists every marked punch and the new phones.
- Supervisors: open My team in the portal. The card Clock-ins to review lists your team's marked punches. New phones are approved by HR, not by supervisors.
What the statuses mean
| Status | Counts in attendance and payroll? |
|---|---|
| Flagged | Yes, unless you reject it |
| Held for review | No, until you approve it |
| Not accepted | No, until you approve it |
Each punch shows the reasons it was marked, for example "Outside the site's area", "No location from the phone", "Made from a computer", "Made without signal and sent later (the phone's time)" or "A new phone, waiting for HR's approval". It also shows a risk score, the selfie beside the employee's Last accepted selfie, and Place on the map when the phone shared its location.
Decide on a punch
- Read the reasons, compare the photos and check the place.
- Choose one:
- Approve: the punch counts in attendance. A note is optional.
- Reject: type the reason in the note first. The punch doesn't count.
- Ask to explain: type your question in the note first. The employee is notified and answers on their Clock in / out page.
- The employee is notified of your decision.
When the employee answers, their text appears under the punch as "Employee's explanation", and you are notified. Then approve or reject it.
Approve a new phone
Each employee clocks in from one phone at a time. Punches from a phone that isn't approved are held.
- On Clock-in review, find New phones to approve.
- Click Approve phone. The employee's previous phone is retired.
- To refuse a phone, click Remove and confirm. It can't be used to clock in.
An employee's approved phone can also be removed from their employee page, under Clock-in phones.
What can go wrong
- "Say why the punch is rejected." Type a note before clicking Reject. Ask to explain also needs a note.
- "That payroll is already approved; correct the time through a time correction instead." The punch falls in a locked pay period. See Missing punches and corrections.
- "Not allowed." You can't decide on your own punch, or the employee is outside the branches or departments you look after.
Good to know
- Opening the review page is logged for each selfie shown.
- On My team, supervisors also see Clock-ins without a location and Clock-ins made without signal for the last 14 days. If a time looks wrong, the fix is a correction.
- What the checks look for (area, selfie, phones, clock-ins without signal) is set under Company setup → Clock-in controls. See Clock-in controls.
