Missing punches and corrections

How missed clock-ins are followed up and corrected.

For:Owner / ManagementPayroll officerSupervisor

Punches can't be edited in Sahora. When an employee forgets to clock out, or a time is wrong, the fix is a time correction that someone else approves. This guide explains how Sahora follows up missing punches, how to decide on corrections, and how to file one for an employee who has no portal login.

How missing punches are followed up

Each morning Sahora looks at the day before. When a scheduled workday has a clock-in but no clock-out, a clock-out but no clock-in, or punches that don't pair up, Sahora sends a notice:

  • If the employee has a portal login, the notice goes to them, asking them to file a time correction with the correct time and what happened.
  • If they have no portal login, the notice goes to the supervisors of their department and to the owners and payroll officers, so that one of them files the correction for them.

A missing clock-out on a shift that may run past midnight waits one more day, since the clock-out may come after Sahora looks.

If nothing is filed after two working days, the employee is reminded once, and the supervisors, owners and payroll officers are told. A day that was corrected in the meantime is closed without a reminder.

Decide on a correction

Owner / Management users, payroll officers and payroll approvers decide on the Time log. Supervisors decide for their team on My team, under Time corrections to approve.

  1. Open Time log and find Correction requests. The title shows how many are waiting.
  2. Read the times asked for, the reason and any Proof. Click the date to see that day's punches.
  3. Type a note if you like, then click Approve or Reject.

An approved correction adds the times to the time log as correction punches, and they count like any other punch. Decided requests stay listed for 14 days.

Nobody decides on their own correction or on one they filed. If you see "Someone else must decide on this correction.", ask another approver.

File a correction for an employee

Use this for employees who can't file one themselves, for example because they have no portal login.

  1. Open Time log and go to File a correction for an employee. The list marks employees with "no portal login".
  2. Choose the employee and the Date.
  3. Enter the Time in, Time out, or the Break start and Break end that are missing or wrong. For a night shift, tick Time out is the next day (night shift).
  4. Under What happened, explain, for example "Forgot to clock out".
  5. If you have proof, click Attach proof and choose a photo or PDF (up to 5 MB), such as a logbook page, gate pass or memo.
  6. Click Send for approval.

Another person then approves it: the supervisor, a payroll approver or the owner.

What can go wrong

  • "Enter the time in, the time out, or the break times." Enter at least one time.
  • "Corrections are for past days." The date can't be in the future.
  • "The time out must be after the time in (tick "next day" for a night shift)." Check the times, or tick the night shift box.
  • "The break must be between the time in and the time out." Check the break times.
  • "The proof is larger than 5 MB." Take a smaller photo or scan.
