The attendance and people reports on the Reports page show what the time log, leave records and 201 files say about your employees. This guide explains each one. For how to search, filter, pin and schedule reports, see The Reports page.
Attendance figures come from the time log. Most reports let you pick the dates with a preset such as Daily, Weekly, Pay period (cut-off), Monthly or Custom dates.
Attendance and time
Attendance summary. Per employee: days present, absences with and without leave, tardiness, undertime, overbreak, overtime by kind of day and leave by type. Under Show, choose Days and counts or Minutes and hours. Owner / Management, payroll officers, Finance and payroll approvers also see Pesos: approved payslip amounts for pay periods inside the dates, and estimates for other days. Tick Compare with the previous period to see the change. Employees over the company's monthly limits for lates, undertime or absences are highlighted; the owner sets the limits in Company setup → Timekeeping.
Daily time record. Each employee's days: schedule, time in, break out and in, time out, hours, late, undertime, overtime and leave. It covers at most 62 days. The Print button makes a PDF with one employee per page and signature lines; choose employees, a department or a branch to print some.
Overtime. Overtime filed, approved and worked by kind of day, the trend, and the departments and employees with the most. Those who may see pay also see its cost from the payslips.
Attendance exceptions. Missed, duplicate or out-of-order punches, break problems, overbreak, overtime worked without approval or approved and not worked, and punches without a schedule. Each one is open, waiting for a correction, or resolved.
To settle one that needs no correction:
- Click Mark resolved.
- Type why it is resolved and click Save.
To open it again, click Reopen. Resolved ones are hidden unless you choose them under Status. The payroll page warns while exceptions are still open for the period. See Missing punches and corrections.
Leave and loans
Leave balances. Each employee's leave earned, used and left by leave type, for the year.
Loans and deductions. Company loans, SSS and Pag-IBIG loans and other deductions: how much was deducted in the dates and the balance left. It shows amounts, so it is for the roles that see pay.
Employees and compliance
Headcount and movement. Headcount at the start and end of the dates, hires, separations by reason, regularizations and turnover. Use Group by for department, branch or employment status.
Upcoming dates. Probationary employees nearing regularization (and overdue ones still on probation), contracts ending, work anniversaries (the first marks Service Incentive Leave) and, if you tick Show birthdays, birthdays.
201 file completeness. What each record is missing: government numbers, birthdate, address, civil status, a bank account and the documents your company requires, with a percentage per employee and for the company. Under Show, choose Incomplete records or Everyone. It says only whether a number is on file, never the number. The owner chooses the required documents in Company setup → Employee records.
New hire and separation reporting. Hires and separations to report to SSS (R-1A), PhilHealth (ER2) and Pag-IBIG. For each one:
- Enter the date you reported it, and a reference or note if you like.
- Click Reported, or Not needed if it doesn't apply. Click Undo to change it.
Under Show, choose Still to report or Everything.
Final pay and COE tracker. Separated employees' final pay (pending, computed, released) against its deadline, and certificate of employment requests against theirs, overdue first. Requests employees make in the portal appear here. To record one made another way, choose the employee and date and click Log request. When you give the certificate, click Released; click Cancel for one no longer needed. See When an employee leaves.
