The filing calendar lists every government remittance and BIR filing your payroll creates, with its due date and status. Sahora prepares the figures and forms; you file and pay through each agency's own channel, then record it here.
Before you start
The due dates depend on a few company settings. An Owner / Management user sets them in Company setup → Payroll settings (see BIR details and your work place):
- BIR 1601-C filing channel: eBIRForms / manual or eFPS. If you file through eFPS, also choose your eFPS group (A to E, from your eFPS enrollment).
- PhilHealth due day: your day within PhilHealth's window, which depends on the last digit of your PhilHealth Employer Number (PEN).
- Pag-IBIG due day: your day within Pag-IBIG's window, which depends on the first letter of your company's name.
- BIR 1601-C due day: leave it blank to use your channel's day.
SSS has one deadline for every regular employer, so it has no setting. When you leave a day blank, the calendar uses the standard day and shows "default day" under the date.
Open the calendar
- Open Reports and click Filing calendar.
- To narrow the list, choose a Report type, a Due from and Due to date or a Status, then click Apply.
Each row shows the obligation, the month (or year) it covers, the due date and its status:
| Status | Meaning |
|---|---|
| Upcoming | Not due within the next week. |
| Due soon | Due within the next seven days. |
| Overdue | The due date has passed and nothing is recorded. |
| Remitted | You recorded it as filed or paid. |
Click an obligation's name to open the report that prepares it (see SSS, PhilHealth and Pag-IBIG contributions and BIR Form 1601-C).
The calendar covers the months since your first payroll (up to the last five months) through next month. SSS and Pag-IBIG loan amortizations appear only for months in which you deducted those loans. Yearly items, such as the 1604-C and the 2316s, appear once a year.
Record a remittance
- Find the row and click Mark remitted.
- Enter the date you filed or paid, the reference or PRN, and the amount you paid.
- Click Save. You see "Recorded." and the status changes to Remitted.
The Computed vs remitted column compares the amount you entered with what your released payrolls for that month add up to. It shows "matches", or how much you remitted short or over, so you can follow up.
To correct a record, click Undo and record it again.
When you mark a month's 1601-C as remitted, the approved payrolls paid in that month can no longer be unlocked. Undo lifts this again. The 1601-C records you enter here also fill Part II of your 1604-C working copy, so enter the date, reference and amount for every month.
How the due dates are worked out
- Each monthly item is due in the month after the month it covers, on your company's day or the standard day.
- The 1601-C follows your filing channel: one day for eBIRForms and manual filers, and a day per group for eFPS filers. December's return has its own rule, shown in your calendar.
- For the 1601-C, SSS, PhilHealth and loan amortizations, a due date on a Saturday, Sunday or nationwide holiday moves to the next working day.
- Sahora keeps these rules in its own tables, with the agency issuance each comes from. Changes are posted on Statutory updates.
Reminders
Owners and payroll officers get an email 5 working days and 2 working days before a due date, until the item is marked remitted. Working days are Monday to Friday, less nationwide holidays. If your company has switched Sahora's emails off, your people get no reminders. If your accounting firm runs your payroll, its team gets the reminders instead.
What can go wrong
- "Already recorded.": that item and month already have a record. Click Undo first if it needs changing.
- The Computed vs remitted column is empty: no payroll paid in that month has been released yet (see Releasing a payroll).
