Before you submit

Pre-payroll checks, leaving someone out and amounts set each payout.

For:Owner / ManagementPayroll officer

Before a payroll goes to the approver, Sahora shows what still needs your attention on the payroll page. This guide covers those checks, leaving an employee out of a period, typing the amounts for employees paid a set amount each payout, and government numbers an employee doesn't have yet.

The checks on the payroll page

Open Payroll and click the period. Before you compute and after, look for these notices at the top:

  • Before you compute and submit: leave, overtime, official business requests or time corrections still waiting for a decision for days in this period, clock-ins held or flagged for review, and holidays not yet loaded or not yet in use. Click Open beside a line to deal with it. Requests count in the payroll only once approved, so decide them, refresh the attendance and recompute.
  • Attendance exceptions: "… still open for this period" with a Review them link to the Attendance exceptions report. Settle them or mark them resolved before the payroll is approved.
  • Payroll audit: a count of findings that must be fixed, are to check, or are for information, with an Open the audit link. See Payroll reports.

Then read the register and the notes beside each employee (see Computing a payroll).

Leave an employee out of this period

Use this when an employee of the pay group should get no payslip and no contributions this period, for example while suspended or on leave without pay for the whole period.

  1. Find the Not included this period card.
  2. Choose the employee, then the reason: Suspended for the whole period, Paid outside the payroll this period, On leave without pay for the whole period, Transferred to another company or pay group or Other (explain).
  3. Add a note if you like (required for Other (explain)), then click Leave out.
  4. Click Recompute payroll so the register follows.

To bring the employee back, click Include again beside their name, then recompute.

The approver sees this list. You can change it only while the period's payroll is a draft.

Amounts for this payout

Some employees have no fixed rate: their basic pay and commission are set each payout (chosen on the employee's page). For them the payroll page shows Amounts for this payout.

  1. Type each employee's Basic pay and Commission for this period.
  2. Leave both blank for someone who isn't paid this period. The row says "No amount yet: not paid this period".
  3. Click Save amounts, then compute the payroll.

Tax and contributions are computed on these amounts as for anyone else.

Government numbers missing

After you compute, the page lists employees without an SSS, PhilHealth, Pag-IBIG or TIN on file: "Government numbers are missing; the payroll can't be submitted until they are entered."

  • Click the name and enter the numbers on the employee's page, then recompute.
  • If the employee doesn't have a number yet, click Mark not available yet beside it and confirm. The payroll can then be submitted. Contributions and tax are still computed, the employee is asked for the number, and it stays flagged until it is entered.

See Government and bank numbers.

Good to know

  • A notice also appears when a run used statutory values that are not yet verified. The approver ticks that they have reviewed them.
  • When everything is ready, click Submit for approval. See Submitting and approving a payroll.

Where this guide gives a rate, limit or number of days set by law, it is the one in force today, 24 October 2026, from the official tables Sahora uses for payroll.
