A payroll in Sahora is always computed for a pay period. This guide shows how to create the periods for each pay group, change a pay date and remove a period you made by mistake.
Before you start
- Set up your pay groups first: how often they are paid, the cut-off days and the pay day. See Pay groups and pay schedules.
- If Attendance shows "No pay schedule yet", click Set up the pay schedule to start from a template in Company setup.
How Sahora makes the periods
You choose a range of dates. Sahora makes the periods inside it from the pay group's own rules:
- Monthly: one period a month, ending on the last day of the month or on the cut-off day you chose.
- Semi-monthly: two periods a month. The first ends on the first cut-off day (usually the 15th). If the second cut-off is before the month ends (for example the 25th), the next period starts in this month and ends in the next, such as 26 October to 10 November.
- Weekly: seven-day periods starting on the pay group's first day of the week.
- Daily: one period a day.
The pay date is either a number of days after the period ends, or a fixed day of the month (for example the 15th and the last day), depending on the pay group.
Create the periods
- Open Attendance. Each pay group has its own card.
- Under the list, check the dates in Create periods from and to. Sahora suggests this month and the next two.
- Click Create periods.
You see how many periods were made. Periods that already exist are skipped, so you can run it again safely; if everything in the range is there, you see "All periods in that range already exist."
You can create up to about a year at a time. The card lists periods from the last four months onward, and the current period is marked current.
Change a pay date
- In the period's row, change the date under Pay date.
- Click Save.
The pay date can't be earlier than the start of the period. You can change it only while the period is open. A locked period (its payroll is approved) keeps its pay date.
Delete a period
Delete appears only for an open period with no attendance entered yet.
- Click Delete in the period's row.
- Confirm.
If attendance was entered, you see "This period has attendance entered; clear it first."
Next steps
- Enter or fill in the attendance for the period. See Attendance for a pay period.
- Compute the payroll on the Payroll page. See Computing a payroll.
Good to know
- Payrolls of one pay group are approved in order. Before you can compute a period, every earlier period of the same pay group in the same year must have an approved payroll. Otherwise you see "Approve the payroll for … first."
- Once a pay group has pay periods, a policy template in Company setup won't change its schedule.
- Creating and changing periods is for Owner / Management and payroll officers.
