Employees can ask about an approved payslip from the portal, either about one line or the whole payslip. This guide shows where the questions arrive and how to answer and close them.
Who answers
- Owners and payroll officers read and answer payslip questions.
- Payroll approvers don't see them.
- An employee can ask only about their own approved payslip (see Your payslips).
Find the questions
A new question shows up:
- in your notifications;
- on your dashboard, as "N payslip question(s) waiting";
- on Payroll → Payslip questions.
The page's heading says how many questions are waiting for an answer. Each question shows the employee, what it is about ("About" the line, or the whole payslip), a link to the payroll of that payslip, and the messages so far. Its status is one of:
| Status | Meaning |
|---|---|
| Waiting for your answer | The employee asked or replied, and nobody has answered yet |
| Answered | You answered; the employee may still reply |
| Closed | Done; kept for reference |
Answer a question
- Open Payroll → Payslip questions.
- Read the question. Click the payslip link to check the figures on the payroll if you need to.
- Type your answer in the box below the messages, up to 2,000 characters. Explain the figure, or say what you will correct in the next payroll.
- Tick Close the question if nothing more is needed.
- Click Send answer. You see "Sent. The employee is notified."
Close a question
To close a question without writing more, tick Close the question and click Send answer with the box empty. You see "Closed. The employee can still reply to reopen it."
Closed questions are hidden from the list. Click Show N closed questions to see them again, and Hide closed questions to hide them.
If a figure was wrong
An approved payslip can't be changed. Correct the amount in an adjustment run or in the next payroll (see Adjustment runs and back pay), tell the employee in your answer, then close the question.
What can go wrong
- "Write the answer first.": the box is empty and Close the question is not ticked.
- "Answers are up to 2,000 characters.": shorten the answer.
- "Only the owner or a payroll officer can answer payslip questions.": ask one of them to answer.
Good to know
- When the employee replies to an answered or closed question, it goes back to Waiting for your answer.
- Questions and answers stay on the payslip for the employee to read in the portal.
