This guide shows how to record a new rate for one employee, how to raise many employees at once, and what happens when a change is dated in the past or needs the owner's approval.
Record a new rate for one employee
- Open Employees, choose the employee and go to Pay.
- On the Salary history card, fill in the form below the table:
- Effective from: the first day of the new rate. It can be a future date.
- Paid: Monthly, Daily or Hourly.
- Amount: the new rate.
- Reason: Salary increase, Promotion, Adjustment (e.g. wage order) or Correction.
- Notes, if any.
- Click Record change. You see "Salary change recorded."
Payroll uses the rate in effect on each day, so a change in the middle of a pay period is split for you. A future rate is marked upcoming, and the Employees list shows it with an arrow (↑) under the current rate.
If you see "There is already a salary record on that date; remove it first.", remove the wrong record with Remove and record the change again. Use Remove only to correct a mistake; an employee always keeps at least one salary record.
Changes that wait for the owner
HR admins can propose a rate but not record it.
- An HR admin fills in the same form and clicks Send for the owner's approval.
- The change appears on the card under "Waiting for the owner's approval".
- The owner adds a note if they wish and clicks Approve or Reject. Once approved, the rate is on file.
The person who sent it, or the owner, can click Withdraw while it waits. A new employee's starting salary added by an HR admin waits for the owner in the same way.
Raise many employees at once
Owners and payroll officers can give a raise to many employees in one step.
- Open Employees, click Bulk changes and choose Scheduled increase.
- Choose the Type of increase:
- Percentage or Fixed amount, then type the value.
- Minimum wage in force (from the statutory table): each employee below the minimum wage of their work place on the effective date is raised to it.
- New minimum wage (typed): type the new daily minimum yourself.
- Enter Effective from and the Reason.
- Narrow down who gets it with Who: pay basis, Pay group, Branch and Department. Add Notes, for example the wage order number.
- Click Preview. Sahora lists each employee's current and new rate. Nothing is saved yet.
- Open Not affected to see who was left out and why, for example "hired after the effective date" or "already at or above the new rate".
- Click Apply to N employees. You return to the Employees list, which says how many new salary records were created.
If an increase brings someone's pay level with, or close to, a colleague who was paid more, the preview shows "Possible wage distortion (Labor Code Art. 124)" with the employees concerned. You can still apply. Consider adjusting their pay in the same increase, and settle any distortion with your employees as the law requires.
Back-dated changes and retro pay
If you record a rate dated inside or before a payroll that is already approved, a Retro pay card appears on the employee's page. It lists each approved period, what was paid and what the new rate gives.
- Tick the periods to settle.
- Choose the Pay date of the adjustment.
- Click Create the adjustment run. Approve it like any payroll.
For a back-dated increase given to many employees, use Payroll → Back pay. See Adjustment runs and back pay.
Good to know
- Monthly-paid employees are compared with the daily minimum wage using your company's days a year.
- For employees still below the minimum after an increase, see Employees paid below the minimum wage.
- The owner can mark an employee's pay confidential on the Status card. Only the owner and payroll officers then see it.
